I am looking for advice on purchasing massage office software. It seems there are two options...The Medical Massage Office Billing and Management System sold through AMMTA or Massage Office 2.2 by islandsoftware. Can you please give me any review or recommendation as to which program is more beneficial, easier to use, etc etc.

I use the island software program. I like alot of the features it has. I keep all my soap on paper so I don't use the soap program that it has, but besides that I like it. We have four therapist that bill using this program. No one has ever had a complaint. One thing I like is that I can fill out the HCFA 1500 in about a minute. It is great for billing. I don't know how much these programs cost, but I suspect they are an investment. Depending on how big your practice is, I run mine right off my Palm Pilot and a few Excel worksheet for accounting purposes. Excel is free with Microsoft software packages and my palm pilot allows me to have my schedule and client profiles with me no matter where I am. Not to mention, they can "speak' to each other, which makes mailings a breeze. I here that some of these programs have trouble interfacing with word processing programs which makes mailings more difficult. Good luck.

Thanks for the idea of a pda, Joe...very interesting. I still carry around paper appt book. I have a pda phobia for some reason, but not computers...Computers are safe...probably because I can't put it in my pocket and lose it. I would love to hear about the other software program...The Medical Massage Office Manangement System...it sounds as if it does it all, especially when dealing with insurance. Does anyone have that program as oppossed to massage office 2.2?

You shouldn't worry about that. The PDA backs-up to my main computer with the press of 1 button. It's too easy. If you lost it, you could get another and reload with the press of yet another button. If you're planning on billing insurance, definitely find a software that will work in conjunction with the necessary forms.

I am interested in finding plain old software with forms (client intake, SOAP notes, charts, etc) without all the insurance stuff. I don't deal with that at the salon and at the Dr's office he handles the insurance claims.

Massage Office Software 2.2 is a great beginners package of software, however, they are coming out with a Pro version in a few weeks that is amazing! I have researched both the Medical Massage Software and Massage Office Software and by far the new version is the best.

Also, if you purchase the Massage Office 2.2 version before the new version comes out you can upgrade to the Pro version for only $49, a savings of $150.

They should be coming out with new demos on Island Softwares website.

I am a massage therapy instructor and we use a program called Customer Pro File in our massage clinic.

To me they are the best for the least.

They offer soap note, insurance billing, client management, marketing, financial management, etc for individuals and clinics for very affordable rates. You can even download the software once you have paid through pay pal.

The prices range from $49 for individuals without insurance billing to $109 for small clinics with multiple therapist that use insurance billing.

You can even download a trial version.

Their graphics are not what island software is...other than that it seems the equivalent for a heck of a lot less. Hi all, I am the president of Island Software Company and I just had a few words about the postings. There are a few packages available out there that wait to see what we do and then try to mimic the features. This we can show by copyright dates. We have been developing our product since 1995 and we own a wellness center in Dallas, Tx. We refuse to sell our software by bashing someone elses product. I would advise anyone who is looking to purchase a package to do 3 things: first, try to enter bad data into different fields (eg; enter "Bob" in a phone # field) and see if it will let you. Enter an invoice and then delete it and see if it let's you. Second, call the other peoples offices 3 times at different times during the day and see if you get an answer. (all of our developers work for us IN-HOUSE. not for some outside company. we are NOT a one-man show.) Third, ask any of the other companies if they have to use their own software on a daily basis to run their business. (Half of our staff are massage therapists and we use our product every day in our own center). Our software was NOT written for some other industry and then "kind-of" reworked to accomodate the massage industry. Our product is the MOST stable and user friendly software available. Don't take my word for it, try the demos of other products and REALLY compare features and usability.

I'm not sure how much I want to computerize my practice, so these full-scale office programs seem overkill for my needs.

I am doing L&I and PIP claims and would like to be able to print out HCFA forms on my computer. I've found a couple programs for this:

The EZCLAIM program has a "printer adjustment" feature that can move the print in 1/100 of an inch increments so that the text prints squarely in the fields. Not sure if the EASYHCFA program has such an option.


Anyone know of a template/program for WA state L&I green forms (statement for misc services)?

I have read through the posts to this topic, as I have been interested in office software recently, and I have decided to purchase the Massage Customer Pro-File by Land Software. It is more cost effective for my small and growing practice and does more than I need it to do at this point. The Island software has nicer graphics, but each look comparable to one another as far as functionality and features go. I just can't justify spending twice as much on pretty graphics at this point.

I am thankful that a more economically feasable option is available. If ever down the line I should become more prosperous and want to try the Island Software program, I may at that time. I am still basically at the beginning of my career, and have been keeping handwritten records, more than anything because purchasing the software was cost prohibitive (all I knew of that was available before reading this thread was the Island program), but want to get a little more high-tech-y, and coming from a consumer's standpoint, it would be foolhearty of me to spend all my resources on a program just because it was "there first" and has prettier graphics.

Interestingly, the DaVinci "Study of Man" is one of the background photos on the Land program, which also happens to be my boyfriend's logo for his own massage practice. Pulling up the program on the computer will make a nice presentation for his clients; it looks customized for his business! What a nice and unexpected "extra". :)

Also, remember this: many great businesses began as "one man shows".

That is good to know Dale. I did happen to find a fillable PDF (Adobe Acrobat) file on the WA L&I website. I emailed L&I and they said we can just print the form out and mail that it, even print it on white paper. Only glitch is if you want to save the file with your claim info filled in, you need to buy the Acrobat program, about $200. The Acrobat Reader is free. FYI...I just talked with WA state L&I today about using the HCFA 1500 forms in lieu of the "green monster" statement for misc services form. The answer was yes they do accept them...but the hfca 1500 forms are on average a 2-week backlog whereas the "green monster" forms are keyed the day they are received. I think I would rather get paid sooner than the convenience of having all my insurance claims on one form.

Dale, do you know this 2-week delay to be true in real life? L&I is one large confusing organization. Such as I just found out that they want charts and billings to go to different addresses, but I've always sent them together and still get paid...hmmm....

There may be a delay with using the HCFA but I haven't noticed it. What I have noticed is that not all L&I in WA goes through the Dept of L&I and most of the self-insured companies do not except the "Green Monster". I find it easier and quicker to do all billing on a HCFA and not have to go back and forth depending on where it goes. I do mostly insurance work so I send out bills ever week and I get checks every week. It takes a while to build up to that point but once you do it makes it easier on you.

I have downloaded and reviewed 4 programs:

MassageWare,
Get Physical (for MTs),
Customer Pro-File,
and
Massage Office 2.2.....

Here's what I have determined (and remember, this is JMO):

MassageWare: OK program for handling massage clients. Does "Text Only" SOAP notes. I did not find invoicing or other bookkeeping/inventory features on this program (I would ideally like to have the most thorough and complete program available). It was not difficult to use, but at $99, I could find something better;

Get Physical (for MTs): I did not care much for this, and it is outlandishly expensive (you have to buy add-ons at ridiculous prices in order to have a somewhat complete program). It was not a cinch to use, either. I wouldn't recommend it; for the money, it was paltry;

Customer Pro-File: This one does the most, but with one drawback: It operates much like a DOS program with the look of Windows, which is a little inconvenient, but after working with it a while, I found I could navigate more easily. I liked being able to print up expense reports (for the month, year, or whatever), make address labels, keep a retail inventory, find clients by birthdates, print SOAP notes with anatomical illustrations, and invoice, among other things. This is the most affordable program (starting at just $59... more for insurance and multiple therapists), and handles almost all office needs.

Massage Office 2.2: This is easy to use, has a WP program for creating letters and documents, and comes with templates (none of which I was able to see on my downloaded demo) for letters, postcards, and such. I enjoyed making custom SOAP charts and being able to print a treatment plan with illustration. It helps inventory retail items, but if it does invoicing and expenses, I could not figure out how it was done. The insurance filing was easy; looked just like a regular form.

All the programs would handle multiple therapists, BTW.

Upon your suggestion, went to the link you provided and I ordered a trial CD-ROM of Massage Manager to reveiw at home and hopefully help me decide which one is the right choice for me. I must admit that when I got to the website, I immediately didn't have high expectations of the product; this is just to say that the website is, well, really chintzy, to say the least, and it didn't exactly give the consumer the right first impression of the product. So, If the company's sales are not strong, this is the reason why (sorry... just some constructive criticism).

I reviewed the Multi-therapist version, and glad to say, it is much less chintzy than its introduction let on, and I do like it very much. It is VERY easy to use, lists expenses, does mail merge, prints mailing labels, invoices, product sales/inventory, insurance, and has a template for an intake form and several user-defined fields, for adding your own info. This program seems to have more of an emphasis on insurance than the others I reviewed, which I don't really need now, but down the road, it might become helpful. It also seems that this version is HIPAA ready, as it has a box to check once the client has been given their Privacy Statement. The SOAP notes were not easy to figure out at first, but once I did, it was very simple. The SOAP notes also have an anatomical diagram that can be colored to show target areas, and can also insert text objects for descriptions. The pricing for this program is $299 for multiple therapists, $199 for single therapist, but I think this is very fair for what you get.
I did not see where the program could group clients by birthday, so I don't think it can do birthday lists, which I was hoping to get, but perhaps it can be done in the user-defined fields? I guess I need to play with it a little more and see.
This program is of the three I am still concidering, but I have to say it is in the top two, bordering on #1. I like it better than Island Software's Massage Office 2.2, as it has more features, and I like the way it operates better than Customer Pro-File, though Customer Pro-File does list clients by birthdate, and it is very inexpensive. I will be getting a new computer anyway for when I computerize my office, and I will have the ability to use programs such as Microsoft Office for other tasks related to business purposes, also. If budget allows, this is the software I'd get (I had never even heard of it before until this board!).

If money were no object, I would get this software above all the others; however, I am still small and growing, so price is still a consideration! If I were to recommend software to new therapists, I would say that if they could afford to get Massage Manager, that would be the best choice. The second would be Customer Pro-File, if money was tight, if nothing else but to have reasonably priced multi-functional software.

Hello Everyone,

I am new to this forum, *waves to all*.

In regards to software, we use the Massage Office by Island Software. I have a few reasons why I chose it, which may be available on other software products, but, I find it specifically compatabile with our office.

Background: Small business, 2 massage therapists, one also being a chiropractor. Cash practice. Credit cards and checks are accepted. No insurance filed, except on the very very very rare occasion, but wanted to have software that could do this if needed.

Needs: Something that was easy to use, dependable and "color coded" for a very visual user. Also, we needed something that could be used for chiropractic and/or other alternative medicine forms. Lastly, we needed good printable paperwork options for client folders (we keep folders on clients and patients alike).

Found: We found this particular software to be great. It has held up, and has good capabilities from keeping SOAP notes for easy call back (with the color coding) to preferred product information storage. The 2.2 version, which we now use does not have "everything" we want, but the Pro version (http://www.islandsoftwareco.com/proflash.html) seems to be exactly what we are looking for. So far I have not seen anything that makes me want to change software packages to a different company. For now, we are using a great product in the 2.2 version, but I do admit, are eagerly awaiting the Pro Version, so that we can manipulate pictures to emphasize what we need for the chiropractic and other health care support, as well as add color codes and verbal information ("pins & needles, throbbing, etc.) to the final picture.

To be honest, I just like it this particular software. It is easy, and simple to see exactly what I want to see, quickly and easily with minimal effort. I like to locate things without having to jump through hoops and this software does it for me!

I believe that if you start off with a good product that you like (no matter what the product), it is better than buying something mediocre and then changing it in the future.

Whatever your choice in software may turn out to be, thinking about where you plan to take your practice and what your needs are (or will become) definitely makes the most sense in preparing to purchase software.

Thanks to everyone who has provided links to other software. May I also suggest looking into acupuncture practice software programs, as there may be something in that category that is reasonably changeable to work with alternative medicine practices also.

I purchased this software with the upgrade as a key part of what was needed. Because of the perfection of the company, this upgrade had not been available to me. I talked with the owner and he told me to return the program......it was too easy. So of course I ordered Medical Massage Office Billing/Mgmt System. What a mistake!! This software was so difficult and time consuming; not to mention it would lock up and I would have to start all over. After contacting their support team, 5 phone calls later and an attitude that my computer was the problem, I uninstalled this nightmare. I thought it was only fair to contact Massage Office again by email to tell them even with out the upgrade, they were 100% better!!!!! I figured I would never hear from them because I returned the software and they exceeded my expectations once again. I know this is quite a long reply, but our time is precious and I want everyone to know what I went through. I thank you guys for the release of the upgrade and for the kindness and support I needed!!!!!!!

Hi. I don't have the full update yet, but we have the new Pro Version of the Massage Office software I mentioned above and will try to install it this next week.

FYI -- it does NOT run on ME, which means if you have ME on your computer, you will need to upgrade to XP. Just a little bit you may want to know ahead of time.

So, we are upgrading now and plan to have everything in place soon. When we do, I'll give you the scoop on what I think about it.

I must say I am excited though! :)

Just an update on the Massage Office Pro ...we have been using it in my office now for 2 months (we have been using the original for 4 years)...wow! what a program! For those of you that take your practice seriously, and intend to grow in the future...this software is worth every single penny.

There are SO MANY OPTIONS in this program, it is amazing they can offer so much for such an affordable price- although I respect that affordable means something different to each therapist.

My Father is a Chiropractor, and he spent well over $2000 for a program that does half of what this program does.

Steve Kreger and Tim Balchi are a couple of great guys with huge hearts and a ton of patience. I owe the tremendous growth of my practice over the past 5 years to their earlier version...2.2. I can only say that my excitement for the future of my practice now that I have the upgrade is enormous! 5 stars, 2 thumbs up!

Don' t know how I missed your posts about the other softwares but I found it very helpful. There is one that is rediculus, to think someone is going to renew a software program each year, If you purchase it, it should continue to work. Sounds like if you don't renew, your software crashes. Just didn't like that. I think it's the massage office. The next oine likes great. I like the set up. The one that's not available is very thought out and looks cool.

Massage therapy also looks good.

I like the Landsoftware the best. Price by far. ease of use, not great. Not easy to manuever. always have to go back to main screen and that's annoying. I'm not going to pay $400 for a program either to not use extensively.

so, I'll probably have to deal with the idiosyncrasy of Lands until I find one I really like.

Do you mean in the SOAP notes, or just in the computer program?

If you mean in the SOAP notes, Massage Office (Island Software) does. You can type in as much info you want about your tech and what you did for the client on that particular day. It has four windows (in the older version - 2.2) which you can type and type and type in.

As far as the newer version (Pro), I haven't gotten it downloaded yet due to some time constraints, but the new version does give you the ability to download your own pictures, photos etc. - which helps for the type of work you do currently, as well as, if you are ever going to branch out into something like shiatsu, acupuncture, chiropractic, or even some other form of heath care in the future. What I mean by this is that you can actually import your own hand picked picture of the meridians and then put color coded dots lines etc. as a visual of the work you did that day, on the picture, and it will print out along with your SOAP's. Or say you perform a lot of head work and want to be precise with where you worked that day and want to remember what it looked like... you could download a pic of the muscles of the face and of the muscles of the side of the head -- or even just a picture of the something like the sternocliedomastoid if you wanted to be really specific.

Most of the programs offer you four text boxes to type your SOAP Notes. So, you can type whatever you want.
